Craft Market Booth Calculator

Before you book a craft fair, check whether expected sales actually cover the booth fee, travel and materials — and how many items you must sell to break even.

—

Formula

Expected profit = (selling price × expected items sold) − (booth fee + travel + material cost per item × expected items sold). Break-even items = (booth fee + travel) ÷ (selling price − material cost per item), rounded up to the next whole item, because you cannot sell part of an item to break even.

How it works

Enter the fixed costs of the event — booth fee plus travel and setup — then your price and material cost per item and how many items you realistically expect to sell. The calculator shows expected profit and, separately, the break-even number of items, so you can judge the event even if your sales forecast is optimistic.

Worked example

Booth fee $150.00 + travel $60.00 = $210.00 fixed costs. Margin per item = $35.00 − $12.00 = $23.00. Break-even = $210.00 ÷ $23.00 = 9.13, rounded up to 10 items. Expected sales of 40 items give revenue 40 × $35.00 = $1400.00 and total costs $210.00 + (40 × $12.00) = $690.00, so expected profit = $1400.00 − $690.00 = $710.00. Interpretation: you need 10 sales just to cover the event, and every sale after that adds $23.00 — but this profit is before your labor time, so value your market-day hours separately before calling the event a win.

FAQs

What costs should go in travel and setup?

Fuel or fares, parking, food on the day, display and table costs for the event, and any helper pay. Leaving these out makes every market look more profitable than it was.

Why is break-even rounded up?

Because 9.13 items cannot be sold. Selling 9 items leaves you short of fixed costs; the 10th item is the first one that puts you past break-even.

Does expected profit include my labor?

No. This result is revenue minus booth, travel and materials only. Subtract a fair value for your making and market-day hours to see your true return.

What if I sell items at different prices?

Use a weighted average price and average material cost across the mix you expect to sell, or run the calculator separately for your main product lines and add the results.

Should I book if expected sales only just reach break-even?

Be cautious: a quiet day, bad weather or a slow pitch can push you below it. Look for events where realistic sales comfortably exceed break-even, not just meet it.
